Staff Management
Manage your team members, set their working hours, assign services, and handle schedule exceptions.
Staff List
The Staff page displays all your team members in a list view. From here you can add new staff members, view and edit existing profiles, and reorder how staff appear throughout the system.
Viewing Staff
Each staff member is displayed as a card showing their name and photo (if uploaded). Click on any staff card to open their full profile and make changes.
Adding New Staff
Click the add button (+ icon) in the bottom right corner to create a new staff member. You'll need to provide at least a first name to create the profile. All other fields are optional and can be filled in later.
Staff Profiles
Each staff member has a profile containing their personal information and settings. This information is used throughout the system and may be visible to customers during the booking process.
Profile Fields
The following information can be stored for each staff member:
- First Name (required) — The staff member's first name, displayed throughout the system
- Last Name — Optional surname for the staff member
- Email — Contact email address (validated for correct format)
- Info — A bio or description that can be shown to customers
- Gender — Optional field with Male or Female options
- Birthday — Date of birth for the staff member
Profile Photo
Upload a profile photo to help customers identify staff members. Photos are displayed on the booking page and throughout the dashboard. For best results, use a square image with the staff member's face clearly visible.
Dashboard Color
Assign a unique color to each staff member to easily identify their bookings on the calendar. Choose from 8 predefined colors or select a custom color using the color picker. This color is used to highlight the staff member's column and bookings in the calendar view.
Working Hours
Set the default weekly schedule for each staff member. Working hours determine when customers can book appointments with that staff member.
Setting Weekly Hours
Configure working hours for each day of the week (Monday through Sunday). For each day you can:
- Toggle the day on or off (open or closed)
- Set the start time (from)
- Set the end time (to)
- Add breaks during the working day
Default Hours
When you create a new staff member, their working hours default to 09:00 - 17:00 for each day. Adjust these to match each staff member's actual schedule.
Closed Days
Toggle a day off to mark it as closed. When a day is closed, customers cannot book appointments with that staff member on that day of the week. This is useful for staff who don't work certain days, such as weekends.
Schedule Exceptions
Schedule exceptions allow you to override the default working hours for specific dates. Use this feature for holidays, time off, or when a staff member needs to work different hours on a particular day.
Creating Exceptions
To create a schedule exception, select the specific date on the calendar and modify the hours for that staff member. You can:
- Mark the entire day as closed (time off)
- Set custom working hours different from the default
- Add or modify breaks for that specific day
How Exceptions Work
The system checks for schedule exceptions in the following order:
- Staff member's exception for that specific date
- Company-wide exception for that date
- Staff member's default working hours for that day of the week
- Company default working hours
Service Assignments
Control which services each staff member can perform. When customers book online, they will only see staff members who are assigned to the selected service.
Assigning Services
Open a staff member's profile and navigate to the Services section. You'll see a list of all available services with checkboxes. Select the services that this staff member is qualified to perform.
Default Assignments
When you create a new staff member, they are automatically assigned to all existing services. Review and adjust these assignments based on each staff member's skills and qualifications.
Impact on Bookings
Service assignments affect availability in several ways:
- Customers only see staff who can perform their selected service
- The system automatically assigns available staff when auto-assignment is enabled
- Staff members cannot be booked for services they're not assigned to
Display Order
Control the order in which staff members appear throughout the system, including the booking page and calendar view.
Reordering Staff
On the Staff list page, drag and drop staff cards to rearrange their order. After making changes, click the save button that appears to save the new order.
Where Order Applies
The display order affects how staff appear in:
- The staff list in the dashboard
- The calendar view columns
- Staff selection during booking
- Customer-facing booking pages
